The Registrar is responsible for operation of campus registration office: maintaining student information and records in accordance with Arizona Revised States and other federal, state, and local guidelines; preparing related reports as required by outside entities, the Arizona State Department of Education; answering inquiries related to residence; monitors student record-keeping procedures; performing specialized tasks in building the master schedule; registering students; scheduling classes; and maintaining attendance and other student records.
Coordinates and performs work related to Student Accountability Information System (SAIS) to assure compliance with statute and complete and accurate funding. Creates and maintains all data required by SAIS, including data on students in special categories (e.g., ELL students, ESS students, foreign exchange students, homeless students, emancipated students; and students with surrogates, guardians or in loco parentis situations). Submits all required school SAIS reports to the Arizona Department of Education (ADE). Receives, interprets, and follows through on ADE reports on submitted SAIS data; downloads required ADE reports and makes necessary corrections; forwards ADE reports to appropriate campus staff as required. Audits and corrects monthly SAIS submissions to assure completeness and accuracy of data; e.g., identifies data errors and systems errors, performs mass changes to correct data, runs and analyzes validation reports. 2Maintains and reports SAIS information on students who are dually enrolled.

The Credentials Specialist evaluates and verifies transcripts and maintains accurate student records on grades to ensure each student has the correct credits for graduation.
Requests student records from external organizations, educational institutions, and other agencies.Evaluates and verifies transcripts of students transferring into the District to create a District transcript; notifies appropriate office when credits are not acceptable. Inputs and maintains computerized student data (e.g., transfers grades from the grade file to the course history file, updates the GPA file after grades have been transferred to the course history file); runs and uses management reports (e.g., the mark exception report) to ensure that data (e.g., transcript information, credits, rank, grades and test scores in the course history file) is complete and accurate. Prepares and validates graduation and diploma lists. Prepares and maintains student class ranking lists; calculates student ranking manually, when necessary. The Student Liaison gathers information on students regarding attendance, discipline referrals and other referrals for early intervention; manages referrals for support groups and/or other related interventions, works with parents/guardians and counselors to provide appropriate intervention to promote success in school, career, and life. Runs and analyze reports to identify students with attendance, discipline, referral or other issues that will interfere with student success Based on referrals, report analysis, intake interviews etc., works with appropriate school and District support and intervention staff to determine intervention method. Maintains records of students. Notifies parent or guardian(s) via phone calls, letters, or email; document all attempted contact in prescribed contact logs. Maintains and updates confidential student files including attendance, discipline, teacher concerns and any other pertinent information. Utilize student liaison database to document interventions. Collects statistics and data for dropout prevention reports and/or district-level reports.
