  • Oversee and manage NCAA and conference rules compliance while acting as liaison for five University departments.
  • Develop, update, and execute policies, processes, forms and systems related to NCAA and University legislative requirements.
  • Submit required NCAA reports which includes but is not limited to Graduation Rate Success, and Academic Success Rate reports.
  • Assist with filing NCAA reports – which includes but is not limited to annual financial aid reports, EADA/NCAA financial reporting, and Sports Sponsorship as well as Self-Study Guides required every five years.
  • Manage single source sign-on access for 50 employees through NCAA applications.
  • Research and provide interpretation of applicable regulations, rules, and requirements to 40+ employees to include coaches, staff, and student-athletes.
  • Work with relevant departments (including, but not limited to, NCAA, PSAC, Office of Registrar, Office of Financial Aid, Office of Admissions, and other University) to research rules, and regulations, as well as exceptions when applicable.
  • Investigate suspected and/or reported violations to determine if NCAA, PSAC or Shepherd University violations in fact occurred and assist Vice President of Athletics with proper corrective action.
  • Serve as primary contact for roster management within the Athletic Department; input data and coordinate rosters in Banner, Compliance Assistant and ARMS software, consistent with all applicable policies, procedures, and systems.
  • Oversight of recruiting logs for NCAA compliance, consistent with all applicable policies, procedures, and systems.
  • Monitor complimentary admission, tryouts, official visits and unofficial campus recruiting visits.
  • Monitor playing season restrictions - which include but are not limited to daily and weekly practice logs, declaration of playing season, declaration of coaching staff, sports sponsorship requirements and outside competition of student-athletes in domestic as well as international contests.
  • Monitor student-athlete's progress toward degree requirements and academic progress of student-athletes who are in need of special academic support, or who are at risk of failing to meet academic expectations. Guide and direct student-athletes to take full advantage of support services available to students, and encourage close interaction with faculty, advisors and Academic Support Staff.
  • Prepare waivers to NCAA regulations – which include but are not limited to medical hardship waivers, progress toward degree waivers, legislative relief waivers and student-athlete reinstatements.
  • Work directly with University coaches, NCAA eligibility center staff and High School guidance on initial eligibility of participation, financial aid and/or competition in their first year of attendance.
  • Lead and work directly with the Student-Athlete Eligibility Sub-committee to certify all continuing student-athlete's academic eligibility.
  • Advise transfer student-athletes formal NCAA release documentation and education of transfer regulations. Manage NCAA Transfer Portal updates.
  • Advise student-athletes, who desire to compete professionally, on how to maintain their amateur status.
  • Serve as primary contact for head coaches and campus constituents in relation to sports camps. Oversee compliance and online registration processes within ARMS (automated business process software) while assisting with scheduling, budget reviews and registration process for all sports camps.
  • Assist with developing and implementing gender equity plans.
  • Investigate concerns regarding student-athlete well-being, collaborate with administration and campus offices to ensure collaborative solutions.
  • Monitor and address student-athlete conduct affairs within athletic department.
  • Assist in oversight of athletics department operations which includes maintaining department's operations manual as well as design and manage automated business processes through ARMS.
  • Provide managerial and administrative leadership to athletic department staff members which involves supervision of six designated sports programs while also supervising coaches, interns, league officials, game management staff and, potentially, student-employees.
  • Assist in supervision of Athletic Training Staff to include updating policies and procedures, managing schedules and reviewing student-athlete well being surveys.
  • Lead in implementing career preparation, prevention of interpersonal violence, and inclusivity education.
  • Assist with supervising the athletic department's community outreach and educational trainings – such as Title IX reporting, First Aid and CPR certifications, and drug and alcohol education.
