A. Acts as public and agency liaison to the Director of Operations or designee;
serves on committees as requested
B. Provides general administrative support for the agency staff by answering
telephones, recording and issuing messages, running errands, scheduling
appointments, arranging meetings and conferences as directed and types
minutes; receives sorts and routes all mail; maintains petty cash receipts and
disbursement records; responsible for maintenance of agency's building.
C. Inventories and orders supplies, equipment and postage as needed. Validates
packing slips, compares to order and faxes slip to procurement. Completes full
inventory annually or as requested. Processes clinical/patient supply requisitions.
D. Validates vendor/customer bills for accuracy, completes check requests and
routes to appropriate personnel.
E. Creates and maintains personnel records according to established Corporate
guidelines. Maintains a record of all clinical staff renewable requirements and
obtains updated information prior to expiration date.
F. Responsible for coordination of new employee orientation activities; maintains
files including storage and retrieval of all records.
G. Accepts referral calls and forwards to the appropriate professional staff.

H. Provides data entry support for Medical Records Clerk, Clinical Office
Coordinator and Intake Coordinator as needed.
I. Responsible for maintaining and submitting payroll and distributes payroll
J. Performs BSM workflow, review of Clinical Office Coordinator notes and
completion of administrative tasks on a daily basis. Runs daily reports, checks
orders sent and received and follows up as needed.
K. Updates emergency call tree and coordinates emergency drills; performs office
safety inspections and maintains Employee Infection Control Log.
L. Supervises Business Services Specialist and Medical Records staff to include
assisting with hiring/termination, performance evaluations, and corrective action.
M. Follows all privacy policies of CareSouth and maintain the confidentiality of
protected healthcare information (PHI).
