• First point of contact for entire diplomatic accreditation related requests for visa extension, visa transfer, visa renewal, ID requests, ID renewal and duty-free privileges for the entire mission diplomatic community (State, USAID, CDC, USAU, DOD, FAS, FCS, MSG, and Peace Crops).
• Back up main timekeeper for attendance for overseas staff.
• Admin earning and leave statement for LE staff (particularly LGF)
• Serves as the first point of contact to the Human Resources (HR) unit of the U.S. Embassy Addis Ababa.
• Answers basic HR questions and directs visitors to the responsible employee for more in-depth questions.
• Answers phones for Human Resources employees when they are not available.
• Maintains master HR calendar.
• Maintains stock of the LE Staff Handbook, ensuring that all new employees and supervisors that receive a handbook are registered as having done so.
• Coordinates the maintenance and upkeep of the HR Office.
• Reports all problems with the office spaces to the Facilities Office or the janitorial staff.
• Serves as the office POSHO (occupational safety and health) liaison.
• Makes suggestions for improvement of the office space, furnishings, and equipment. Ensures shared office machines are serviced and functioning.
• Maintains the office expendable supply cupboard ensuring that it is neat and adequately stocked, placing requisitions for supplies as needed.
• Facilitates submission of ILMS and ARIBA requests.
• Works closely with the IRM staff to maintain an up-to-date, customer-responsive HR presence on post’s intranet site.
• Maintains Administrative Supply stock for HR office use. Submits requisitions, follows-up delivery, conducts inventory on all supply items in stock, logs issuance to HR staff and ensures proper management and use of the section’s office supply by all staff.
• Assists to coordinate quarterly orientation, Awards, SIV, Skill tests and other HR programs.
• Extracts biographic or other data from files or PASS for preparation of various reports
• Performs HR recruitment process, Schedule calendar for English placement test, interview.
