I manage a caseload of 28-40 clients receiving temporary federal cash assistance administered by the State of Alaska. It is my job to help these clients identify and overcome barriers that have kept them from working, and help them gain the skills and confidence necessary to become financially self sufficient, with the ultimate goal of obtaining permanent full-time employment for those who are able, and social security benefits for those who are not able to work.
My job requires a high level of organization and keeping thorough, detailed, hard copy and digital files for each client. All of our files are subject to annual and random state inspections, making it critical that every file be complete and in order at all times. In addition to the hard copy files, I document every client interaction, be it in person, on the phone, or via email in the Case Management System (CMS). This database is utilized by multiple state agencies, including the Department of Public Assistance (DPA) to track the progress of each person receiving benefits in the state of Alaska. I also create and enter monthly reports into CMS demonstrating my client's monthly activities.
I managed the Anchorage Field Office (AFO) reception area. This meant dealing with rapidly changing situations, and being able to frequently switch between job duties and subject matters while maintaining a positive, professional appearance to our visiting public.
I provided administrative support for the Anchorage Field Office programs by regularly updating legal land descriptions, establishing new case files, closing and reassigning case files in the Alaska Lands Information System (ALIS).
My role at the Bureau of Land Management allowed me the opportunity to work within the Collections and Billing System (CBS) to research the applicant's claims for accuracy, so that money could be processed and refund accordingly. I drafted and completed rationale and descriptions according to Bureau standards on monthly CBS memorandum and reports, including Quarterly Reports, to submit to the budget analyst at the state office. I researched aging suspense accounts and unpaid bills within CBS. This research helped to clean up the monthly reports and resulted in monies being refunded and significant reduction in the suspense account balance.
While in my role as the Administrative Assistant for the Anchorage Field Office I received Exceptional and Superior ratings on my Employee Appraisal Plan, and received a cash award.
It was my responsibility to ensure that thorough, current, and accurate records were kept of every resident of the Sierra Quest Academy Group Home, Transitional Housing and Foster Care program Residents, and Foster Families, abiding by strict federal laws, rules and regulations.
I was the first point of contact for parents of residents, Law Enforcement, school staff, and employees. This sometimes meant dealing with difficult situations and required that I maintain a calm, professional demeanor.
I collaborated with the administrative team to write and implement policies and procedures company wide to ensure that the nonprofit organization was abiding by state mandated regulations. I also maintained confidential employee personnel records and tracked and met deadlines for processing personnel actions, and scheduled employee evaluations for the Administrator and Executive Director of the group home.
I hosted and attended Job Fairs throughout the California Central Valley, and held monthly gatherings at the Mother Lode Job Connection Mariposa, using PowerPoint and other media to recruit new employees, and help applicants with the application process, answering applicant's questions as they came up.
Although my position required that I travel at times, I was able to do the majority of my work as a Human Resources Assistant from my home office, and report to the Human Resources office only occasionally. I maintained my home office, work computer, and inventory of necessary supplies.
