Administrative Assistant, Transportation Department, Child Accounting
Coordinator and Volunteer Coordinator at Littlestown Area School District. Duties for Transportation Department include, but are not limited to, scheduling students with transportation to and from school using Transfinder Routing Software; mapping and geocoding routes throughout our district and out of district; creating new bus routes and updating existing routes; assisting drivers with changes to their routes as needed. Collection of in-house and contracted driver records and clearances to assure records are up to date and contracted drivers are board approved; working with contractors to assign special needs, Tech Prep, homeless and outlier students to routes to and from school. Use of CSIU-Financial Information System for Fund Accounting including General Ledger, Purchasing, Budget and Invoicing purposes. Use of Frontline Time & Attendance Software to aid drivers as needed for absences. Preparation of driver bid meetings held three times a year that include event/field trips for the district; collect, correlate, calculate driver trips as it pertains to driver payroll and for invoicing purpose. Maintain records of non-public, home schooled and charter school students; collect, record in Excel, the monthly mileage reports in preparation for the EOY submission to Pennsylvania Department of Education for subsidy and maintain documentation for audit purposes. Be a point of contact for internal problems and offer assistance in resolving issues within the department. Address and resolve parent/child busing issues and obtain assistance of the Director as needed. Work with the individual school administrators to maintain cooperative work relationships as it pertains to transportation situations. Day to day office procedures include answering multiline phone system; keeping open communication with drivers while on their bus runs; spreadsheet updates; typing communications; working closely with District Office peers and IT to best resolve and/or assist with issues.
Child Accounting Coordinator duties include the maintenance of the Student Information System (Sapphire) for students educated outside of the district and/or for non-resident students educated in our buildings; collect monthly attendance reports for each school building and maintain information for audit purposes; account for foster students and work closely with Assistant for Special Needs; maintaining work relationships with peers in other school districts and the Intermediate Unit to assure student membership percentages are accurately reported to PDE annually; collect and document educational and residential changes for cyber, charter and home schooled students; improve documentation storage for future demographic studies, audit and record keeping that include transportation, cyber, charter, private and home school students and maintain in a secure location. Annually submit Act80 Day requests, and validation of prior school calendar to PDE.
Volunteer Coordinator duties require the maintenance of volunteer list of over 500 volunteers to assure each is up to date with State Criminal, Child Abuse and FBI Fingerprinting Clearances; reviewing new requests for volunteers to assure all documentation is submitted and obtain Board approval for each. Communication with volunteers may be through email, mail or phone.
Mail delivery between the District Office and school buildings run daily and bank deposits delivered between two banks daily as needed.
Operated bus in alignment with department safety, DOT and local traffic standards and regulations. Adhered to scheduled routes and accomplished timely drop-offs and pick-ups to comply with preset route criteria. Performed bus driving duties while keeping student safety in mind to maintain good safety record and to enable safe transportation outcomes for passengers.
Administrative duties at the National Institute of Child Health and Human Development spanning 10 years include, but not limited to, Personnel/HR on-boarding for lab personnel; processed VISA documentation for doctors, post docs, visiting scientist and students while working closely with the International Nationalization Services (INS) to assure all US/Foreign regulations were met. Maintained fiscal budgets for up to 40 labs which involved three major components: processing domestic and foreign personnel packages for submission to the Office of Personnel Management and/or INS, processed and approved travel orders and subsequent vouchers for doctors for international, domestic and sponsored travels. As of April 2000, received Level 1 Certification which allowed the approval of purchases for the Federal Government processed by purchasing agents, having to assure all purchasing regulations were met prior to approving. Back-up time keeper for secretarial offices for government employees and certification official for Pre and Post Doc Fellows. Performed several Power Point training sessions (generally every 4-6 weeks) for our secretarial staff, purchasing agents and other administrative staff to assure all were up to date with ever changing government policies and regulations. Liaison for the Administrative Officer in her absence in addition to accompanying her to meetings with the Scientific Director, Property Management Office, Building Maintenance, INS and the Office of Personnel Management. Basic secretarial duties included answering phones, resolving staff issues, maintained laboratory property, routine preventive maintenance contract scheduling of lab and office equipment for our building.
