09/2007 to 07/2013 Executive Administrative Assistant Forward Air | Sacramento, CA,

On site human resources and accounting for large IT project and data center. Ensured that team member responsibilities were defined and understood. Established and maintained effective communication system. Monitored ongoing expenses relative to budget projections. Planned and managed event logistics. Implemented processes to streamline workflow.

Acxiom was contracted to be onsite at a client for data center support, and I was hired to provide administrative support for the data center (one executive and 30 associates), and a two year IT project with six executives and 120 contractors/associates. To maintain effectiveness, I successfully established streamlined processes to maximize work efficiency and assure compliance with legal and internal processes.

My role was heavily focused on managing contractors, including documentation for the IT/HR departments, i.e., Master Service Agreements (MSA), Statement of Work (SOW), and invoice reconciliations. I also assured that associates and contactors had all access and equipment necessary to perform their duties by establishing new hire orientation and setup procedures. In part, my role was to be the onsite human resource representative, and assure compliance with Federal and State employment laws. I provided cost savings to the organization by setting up and maintaining procedures for out-processing with assured legal compliance, contractual obligations, and the return of equipment and company properties.

I assisted the executive staff with presentations, meeting setup, travel arrangements, reimbursements, purchasing, and general administrative support. As part of my ongoing duties, I was responsible for managing the accounting for the project, including expense reports, accounts payable, and accounts receivable. My role also included procurement of products, equipment, and supplies. My strong background with computers and various software programs assisted with managing processes and efficiency to the job. I also worked closely with the project management teams and assisted with tracking and maintaining project reports and statistical information/data.

I worked closely with the client to assure compliance with security and confidentiality, and through customer care and trust, established strong long-term relationships for our company. I also volunteered for team building activities in our group, and joined the client’s committee for entertainment and charity planning and events. Note that this company absorbed Acxiom associates into their company, Symphony Health Solutions (previously Wolters Kluwer Healthcare), when the contact was terminated, which in part is attributed to our excellence in customer care and our long-term working relationship.
