Upon notification of the Involuntary Reserve recall to support Operation Enduring Freedom, assisted in mobilization a Group/Marine Safety Office Administration team to set up a processing station for all incoming personnel. Ensured orders were properly prepared by working with the Human Resource Service and Information Center to create and install a macro in the units Source Data Automated system. Created a time saving macro resulted in 320 orders processed with zero errors during the first week of mobilization.
PROBLEM SOLVING, ANALYSIS, FACT-FINDING: Developed creative solutions for improving organizational efficiency, and policy. Compiled personnel evaluations data, and prepared reports by transcribing data for conference presentation by senior officers. Merged Microsoft Word and Excel to create graphics that showed quantitative analysis. Made arrangements for conferences and meetings; attended and recorded minutes.
LEADERSHIP AND MANAGEMENT: Administrative Office Supervisor supervised 16 subordinates and provided administrative support for over 600 military pay records. Established priorities, created travel itineraries, hotel reservations and prepared travel vouchers for active duty members stationed at outlying units. Read and analyzed incoming correspondence, and reports to determine their significance and prioritized their distribution. Monitored performance and tracked progress by establishing monthly spreadsheets to ensure accuracy and consistency with established procedures. Submitted pay voucher documents in a timely manner.
FINANCIAL MANAGEMENT: Audited the personnel/pay records of up to 600 reservists and active duty personnel located in 22 outlying units to ensure accuracy and consistency with established procedures, pay documents were submitted to Coast Guard pay center. Verified 300 plus per diem advance requests and order amendments for active duty and reservists. Corrected severe pay discrepancies for 61 reservists, and provided financial counseling to junior enlisted personnel coping with indebtedness and financial difficulties, resulted in reduction of junior sailors that attended non judicial punishment for indebtedness by 42%.
