Departmental Duties

  • Training of new MOCS on all work flow, expectations, and general operations at request of management by having shadowing sessions with new hire MOCS.

  • Assist supervisor with all patient relation complaints by finalizing response letters once legal approved the responses. Then I prepared and mailed out the certified response letters.
  • Assist other MOCS to trouble shoot any epic issues as the appointment super-user for epic at the JHBMC campus for the MOC team.(appointed by Dr. Stein)
  • Assist other MOCS to trouble shoot any Q-Genda issues as the appointed Q-Genda super-user for the JHBMC campus for the MOC team. (appointed by Dr. Stein)
  • Manage the GI Zoom Conference room for the department by scheduling/cancelling meetings in the zoom room not only for our department but for all departments at JHBMC through reservation requests.
  • Generating of all zoom links for JHBMC MOCS as needed for their providers for telemedicine as the MOC with access and training.
  • Assist management and providers with template changes when urgent requests are needed that cannot wait for normal workflows as I am the only MOC with template building and editing access due to prior template building training at time of epic go live.
  • Ordering specific departmental supplies that are outside of office depot such as departmental envelopes, business cards for the physicians, prescription pads for approved physicians, and additional departmental keys when needed.
  • Provide coverage in all facets for the GI infusion centers at Green Spring Station and Knoll North as needed by request of management.

Medical Office Coordinator II Duties

  • Create and maintained medical records of all patients databases in alignment with HIPPA protocols and regulations.
  • Managed appointments, registrations and patient relations in busy Gastroenterology practice.
  • Scheduling of all new patients (including urgent discharge and flaring patients using IBD two week protocol) and return patient appointments, notify patient of appointment cancellation for various reasons, rescheduling of appointments and managing clinic schedules.
  • Coordination and scheduling of all patient GI procedures in conjunction with a centralized scheduling team through phone and email.
  • Provide all CPT and Diagnosis codes for procedures to ensure proper billing and payment.
  • Obtain prior authorizations for medical imaging, lab drawls, medications and procedures when needed or required of the clinic outside of financial clearance team.
  • Responsible to assist in filling all clinic schedules and procedure schedules by use of individual practice data base, referral work queues, and new incoming fax referrals.
  • Scheduling of Ostomy appointments when needed in conjunction with GI appointments for Ostomy patients.
  • Pre-call all clinic and procedure appointments on schedules to confirm with patients.
  • Scheduling of interpreters (both language and sign) when needed for appointments.
  • Triage all incoming calls from patients (illness or injury calls) by obtaining as much pertinent information as possible to relay to the physician and nurse.
  • Triage all incoming calls from pharmacies, other medical offices, pharmacies, other imaging departments, etc. and task as appropriately needed.
