Contract Compliance - 40%
• Ensure administrative, financial, and programmatic compliance of all tenants rights' contracts and grants (30% federal; 60% City/County; 10% Institutional Philanthropy), including contractual requirements of subs;
• Project manage the submission of all pre-contracting documents, financial and data reports, contract budgets, and tracking and monitoring of allocations of staff time across a $6MM portfolio of contracts and grants.
Contracting/Grants Management - 30%
• Support the full lifecycle of all tenants' rights contracts and grants, from initial ideation to final reporting and evaluation;
• Contribute to the development, build-out, and continuous improvement of Centro's contracts and grants management, including design and refinement of workflow and execution of systems and procedures that foster efficiency;
• Prepare, draft, edit MOUs, SOWs, Contract and Consultant Agreements, and modifications
Project Management - 15%
• Coordinate and project manage timely preparation and submission of Letters of Inquiry, grant proposals, contract bids, budget modifications, revised scopes of work, contract agreements, reports and other documents requested by funders;
• Maintain revenue portfolio by calendaring deadlines and renewals of insurance certificates, business licenses, data reports, and contract rebids
Communications - 15%
• Collaborate closely with policy and data analyst, directing attorney, internal legal and finance teams, and external subcontractors and City/County stakeholders;
• Cultivate relationships with existing and new partner organizations in support of Centro's tenants' rights practice;
• Community Outreach and funder/partner/donor stewardship
Proposals/Contract Bids - 60%
• Responsible for full (pre- and post-award) grant life cycle for city, county, federal, and private (Institutional/Corporate Philanthropy) grants management—specifically San Francisco, Alameda, San Mateo, and Monterey Counties;
• RFP/Q/I review and ensure alignment/eligibility with City/County standards and regulations including RFP/RFQ min quals, and proposed program requirements;
• Serve as lead grant writer and write grant proposals/RFP/Q/I responses solicited by agency funders - approximately 2 to 6 contracts/grants monthly;
• Attend monthly Committee Meetings and make regular report out on Development activities;
• Responsible for carrying out managerial responsibilities in accordance with departmental needs.
Pre/Post-Award Contract Administration - 20%
• Lead the Development Team in continually streamlining and improving operational processes;
• Provide oversight and information in partnership with others involved for all areas of pre-contracting, grants processing, and contract compliance;
• Develop, codify, and implement pre-award (vetting to submission) and post-award (award/declination to final report/rebid) processes;
• Serve as a resource for other departments to consult on complicated grant-related questions
Leadership - 20%
• Ensure other Departments recognize the Grants Team as an integral hub of experts and partners, which directly contributes to Felton's' strategic goals;
• Lead larger Grants Team projects by holding staff accountable to deliverables, removing roadblocks, and providing support and information as needed;
• Facilitate necessary cross-departmental meetings to maintain open communications and build relationships between teams;
• Represent the Grants Team in leadership meetings;
• Provide links to and build trust with other department leads to ensure grant-related activities are smoothly implemented
Pre-award Grant Management – 60%
• Prospect research and pipeline development: sourcing/validating/recommending funding sources
• Budget development: collaborating with CFO, Director of Finance, and Program Directors
• Cost-allocation: applying approved indirect cost rates/allocations to grants/program budgets
• Determine revenue goals: consulting with Program and Institutional Giving Directors
• Grant writing: preparing/submitting applications/proposals, LOI's, RFIs, and cases for support
• Negotiate award correspondence and its formal acceptance
Post-award Grant Management – 20%
• Process development: creating post-award policies/procedures
• Grants calendar: creating and managing annualized/quarterly calendar of institutional revenue
• Institutional prospects pipeline: managing mission aligned funding sources for five programs
• Quarterly reports: reflecting revenue goals/progress for Senior Management Team/Governance Board
• Donor fidelity: working closely with Finance/Accounting/Programs to ensure grant and gift funds are properly set up, maintained, and funds utilized as directed by funder
• Compliance: ensuring program staff are aware of donor restrictions/designations of grant funds
• Reporting: creating and submitting quarterly/annualized interim and final reports to donors
Additional Duties and Responsibilities – 20%
• Internal/external stakeholder management, and CRM management utilizing Blackbaud Raiser's Edge
Prospect Development – 30%
• Sourced, validated, and evaluated Major Gift prospects: utilizing Raiser's Edge WealthEngine
• Optimized campaign pipeline: by cultivating relationships with institutional and Major Gift donors
Capital Campaign Coordination – 30%
• Supported Foundation/Advisory Board: with fundraising efforts/social capital development
• Led Building Tours: with Director of Advancement for Capital Campaign major giving prospects
• Supported Director of Events/Communications Manager: at stewardship and fundraising events
• Developed Content: in support of Annual Report, Capital Campaign, and semi-annual Gala
Proposals/LOIs & Reports – 20%
• Collaborated: with the Finance and Grants Departments to gather information for applications
• Developed compelling proposals: by tailoring content to foundation-specific thematic giving areas
• Prepared and submitted: LOI's/proposals/applications to Institutional/Corporate donors
