Executive Assistant to CEO and Corporate Operations Coordinator. This position reports directly to the President/CEO. Responsibilities of this position include general office management and maintenance responsibilities, Travel arrangements, Event Planning for corporation and CEO family, Manage projects and duties of the CEO both company and family related, specific accounting and secretarial support directly related to the corporate function and CEO. Additional duties include special and ad hoc projects to be performed at the request of the President/CEO, GC, Treasurer or corporate officers.
Role and Responsibilities
CEO/Executive Team•
Maintains schedules and calendar for President/CEO and executive management team
• Prepares agendas in full detail for executive staff, management and industry partners
• Creates reports and design/develop presentations for corporate management team
• Travel arrangement and itinerary coordination for all corporate team members
• Event coordination for corporate headquarters, President/CEO and assistance with subsidiary company events
• Informs management of corporate related information by identifying trends, summarizing details and reviewing reports
• Liaison between President/CEO and corporate headquarters staff as needed• Maintains file maintenance to assist President/CEO in complying with company standards
• Assists executive management staff with strategic planning and process improvement on projects
• Establish team atmosphere through leadership and employee development
• Conducts research based on requests from executive management team
• Development, coordination and communication of office related organization programs
• Assists in preparing monthly and quarterly materials for management and board meetings
Building Operations
• Maintains company website and updates as needed• Coordination of internal marketing needs (website, apparel, etc.)
• Facility relationship partner between corporate office and vendors
• Handles all maintenance issues in relation to the corporate headquarters building
• Point of contact for property ownersowner's association at headquarters building

• Plan a yearly Charitable Giving lunch
• Maintain the Charitable Giving budget
• Coordinate volunteering for the Charitable Giving Charities

• Maintain and report attendance to Payroll Processor
• Quarterly attendance reports to CEO/GC/Treasurer
Administrative
• Supports subsidiary companies as requested with administrative tasks
• Build rapport with management and employees from all subsidiary companies
• Coordination of employee related gifts/events (funerals, births, weddings, etc.)
• Receives and assigns incoming mail and materials to appropriate personnel
• General reception duties (greets visitors, conference room preparation, Wi-Fi, supplies, etc.)
• Interfaces with clients and vendors in person, by phone and email representation
• Performs weekly grocery runs to stock and maintain kitchen cleanliness and operation
• Attends meetings and functions as representation of McDonough Corporation as needed
• Assists with special projects as requested/others duties as assigned
Graphic Design
• Create and design new logos, business cards, and other graphic designs as needed for Corporate and its subsidiaries
• Continue and maintain Photoshop Certification
