Arranging logistics and bookings for school field trips

Personal Assistant (20%)

Provide administrative support to Deputy Head of School and additional administrative support to Head Of School as needed:
Provide analytics and review of testing data required.
Manage and support logistical arrangements for professional development (PD);
Arranges logistics for guest speakers coming to ISHCMC
Keep accurate records of all academic PD activity in the School

Manage all ISHCMC school policies record.

Expatriate Services

.1. Work Permit – Visa / Temporary Residence Card process

· Attends the procedures and applications for Work Permit, and Work Permit renewal for expatriate employees.

· Attends the procedures and applications for Visa Approval Letter, Visa, and Temporary Residency Cards for new & returning expatriate employees

· Attends the procedures and applications for Vietnam Police Check and exit visa for leaving expatriate employees
· Monitors and timely reports to HR Assistant Manager the status of Work Permit and Visa / Temporary Residence Card process.

· Plans and prepares headcount proposal for Work Permit to Labour Dept. (DOLISA)

· Records and reports to DOLISA the working status of expatriate employees every quarter.

2. Relocation services for new expatriate staff

· Assists HR Assistant Manager with relocation services for expatriate staff such as flight, shipping, housing, etc.

· Instructs expatriate staff with driving license obtaining process.

Employee Relations

· Acts as a liaison between HR Department and Trade Union representatives

· Works closely with Trade Union representative and assists HR Assistant Manager in implementing activities and events for staff such as summer trip, year-end party, family day, etc.

· Arranges celebration activities for Staff’s special days such as birthdays, wedding, International Women’s Day etc.

· Manages employee engagement surveys.

Office Administration

· Assist HR Assistant Manager in office administration, seating plan, and health & safety

· Oversees office facilities and makes sure all equipment / machines such as telephones, printer, fax machine, etc. work well.

· Manages monthly telephone expense.

· Arranges annual health checks, uniform, community activities, special occasion gifts, farewell party, etc.

· Provides administrative support and back up for all HR matters on a general basis under the instructions of HR Assistant Manager. Others
