  • Serve as primary scheduler for two conference rooms; organize meetings, maintain attendance rosters, ensure staff's attendance at medical/physical appointments scheduled at the on-base military facility, and follow-up at the conclusion of appointment to record and report compliance.
  • Maintain the central training database to ensure staff is aware of and is 100% compliant with all mandatory training; track certificates, and record completed training.
  • Maintain working schedules and timekeeping for division employees ensuring hours, data codes, and specific project numbers are accurate, and alter schedules as projects and missions dictate.
  • Assist with Security- and Human Resources-related matters, facilitate with new personnel transitioning into the two divisions and assuring they are acclimated to the essential requirements of the building and the division they are being assigned to.
  • Ensure proper division coverage in the absence of a Division Chiefs, delegating the responsibility to a Branch Chief to act as a point of contact (POC) and coordinate with that POC on outstanding issues for the duration of the Division Chief's absence.
  • Screen and decipher external phone calls, address and resolve most issues independently before involving staff with more technical background, and is proactive with minor problem solving.
  • Sort and distribute directorate and division mail.
  • Utilize various software programs to accomplish daily functions.
