• Provide all necessary support and organizational assistance to the Associate Dean of Undergraduate Studies, Director and Assistant Director of Undergraduate Studies. This includes departmental support, answering phones, scheduling and monitoring calendars, updating all personal and confidential files, managing all travel needs, sending communications or notices through email, greeting and screening visitors, and keeping all faculty apprised of information as needed.
• Reconcile Concur expenses and travel reports for the undergraduate leadership and faculty, ensuring that all submissions are accurate and comply with University policies.
o Additionally, balance, track and reconcile the Associate Dean’s CRLT Grant.
• Define and implement strategy to maintain budget and schedule commitments.
• Coordinate the faculty annual report and review process.
• Maintain and update Canvas sites for undergraduate faculty resources and CAFN (Clinical Adjunct Faculty Network).
• Plan and provide support for all departmental meetings, events, retreats and workshops. This includes reserving meeting spaces, arranging catering, compiling and distributing meeting materials (agendas, itineraries, etc.), setting-up AV equipment or providing AV support (including Zoom Video Conferencing, etc.), taking minutes, escorting visitors and providing on-site staff support.
• Create and edit Excel spreadsheets, PowerPoint presentations, Google documents, etc. as each project demands.
• Interact and respectfully communicate with leaders, stakeholders, department and chair leaders, and process improvement colleagues, as well as clinical staff to accomplish the goals of the School of Nursing.
• Work with the Associate Dean and Director to monitor and adapt processes as policies/guidelines change with faculty and staff.
