Perform administrative duties as required by the Broker/Owner, on behalf of the Agents, Office Administrators and Clients. Responsible for providing administrative support to ensure the office runs smoothly. Assist 39 real estate agents with administrative needs, preparation of commissions, handling escrow files and assisting with the organization and implementation of office events. Assemble, review and maintain office files, tracking pertinent data, record keeping, data entry, processing accounts receivables, and other administrative duties as assigned including answering telephones and greeting customers. Familiar with general office equipment such as email, fax, scanners, copiers, printers, and multi-line telephones. Support the real estate agents in the maintenance, documentation and follow-up of all their escrow related paperwork. Responsible for preparing and auditing closing packets. Closing deals using SkySlope to pay real estate agents, and referrals. Provide support to the Broker/Owner and Office Administrators in response to inquiries regarding commission payouts, deal expenses, commission schedules and commission calculations. Auditing of closed transactions to the HUD, Listing Agreement, and other forms of closing documentation in compliance with requirements. Ensure that all supporting documentation is present and accounted for prior to releasing funds for deposit to the bank. Communicate frequently via email and telephone to troubleshoot and request additional documentation from Broker/Owner, Office Administrators and Real Estate Agents when not present, and follow up timely to assure transactions are not delayed.
Responsible for working independently, setting-meeting goals, while establishing solid relationships in the community as well as with physicians and their work staff. Actively promote the agency by participating in community events, conducting clinics, as well as partnering with educational groups.
