I possess the skill and knowledge to perform all duties required of this position. I work as a confidential assistant to both the District Manager and Assistant District Manager providing administrative support and expertise on day-to-day operations and services. I screen calls and mail directed to the Managers, referring only those that require personal attention and delegating or taking messages when needed. I initiate emails regarding office matters and secure clearance prior to sending final document. I routinely work with supervisors and staff on administrative subjects and conduct in office trainings when needed. I work with Financial and Building Management Team (FBMT) regarding building issues, room reservations, ID/Badge issues, equipment disposal/donations, UPS Campus Ship and various other things provided by this office. I use the CBRE Tenant Services website for maintenance issues within the office. I watch for Personnel Announcements, such as Women's Equality Day and place posters and information for all employees to view. I assist in the planning and implementation of most all office events, i.e., fund-raisers, important staff visits, holiday parties, baby/wedding showers, etc., and do my very best to promote good office morale.
Due to the large size of the office, one of my most critical duties is Time & Attendance Management. I possess a thorough working knowledge of the Mainframe Time & Attendance System (MTAS) and accurately and timely post T&A daily for 55 employees. This includes comparing every automated leave slip (ALS) to what is actually written on the timesheet ensuring every form is done correctly and ready for audit. I compare all MTAS leave balances with the Federal Personnel/Payroll System (FPPS) making adjustments as required. I have an extensive working knowledge of the Voluntary Leave Transfer Program (VLTP), which requires knowledge and interaction with both MTAS and FPPS.
I obtained the essential technical skills needed in order to provide the public with information regarding all Social Security programs. I learned basic SR fundamentals in the SR Core Training class that followed with on-the-job training dealing directly with the public. I found knowing policy and procedure, and how and where to find information allowed my to give more timely and accurate customer service. I made it a priority to use good listening skills and to remain calm when attempting to engage in a conversation. It was my duty to explain the processes and advise in an understandable way.
