Provide research, analysis, technical and quality control support for the preparation of documents for the Secretary of Agriculture, the Under Secretary for Natural Resources and Environment and other senior department staff, Handle and direct the flow of all incoming and outgoing correspondence. Train and mentor junior members of the correspondence team. Conduct quarterly training classes in correspondence procedures and techniques. Direct a 4-member research staff. Edit and proofread documents from all divisions to ensure that content is both grammatical accurate and consistent with the Department's message. Manage and continuously update the ECMT databases, including Excel and Access;. Track and analyze industry trends in database systems and advise upper management on proposed IT changes. Maintain a library available to all divisions, comprised of templates for various forms of correspondence including briefs, fact sheets, general memoranda and letters constituents Coordinate and implement security measures to ensure the safety of confidential files. Prepare operating budgets and budget forecasts, as well as annual ECMT accounting report. Produce monthly progress reports on current projects within the Division. Use desktop publishing software to create printed material, including fact sheets, press releases, bulletins and brochures.
