Successfully serve as secretary to the Memphis VA Chief of Staff, who is the chief medical officer for all medical processes at the facility. My duties entail independently drafting written correspondence in response to higher level suspense and congressional inquiries. Additionally, I am responsible for the preparation of routine correspondence, policy memorandums, technical reports, and staff meetings minutes for the Chief of Staff and other staff members in the executive suite. In each instance I ensure each document is expertly prepared and adhere to all grammar, spelling and punctuation principles and are in the appropriate format. Processed more than 1,500 documents by successfully tracking and following up on their status.
I am responsible for reviewing all incoming mail and screening out material that can be handled personally or routing it directly to the appropriate office for action and following up to ensure that action is complete. I assemble background information from various sources before routing mail that requires attention to supervisors. Review all outgoing correspondence and reports for signature of supervisor and the medical center director to ensure the product is within or exceeds standards. Arranges meetings, including issues of space, time, notifying and providing participants with an agenda. Provide supervisor with necessary files and background information prior to meetings.
Planned and coordinated the annual VA Medical Staff Meeting dinner for more than 300 staff physicians, dentist, optometrist, podiatrist and psychologist. Additionally, I was tasked to plan the Doctor’s Day breakfast which was a huge success do to advance advertising throughout the medical center and weekly reminders by email.
