Provide clerical support of a confidential nature to six programs under Crisis Services. Perform complex and technical clerical work that require the exercise of considerable initiate and judgement requiring the use of email, program data bases and federal data base. Route critical phone calls between various police departments, consumers throughout the county for consultation with an on-duty clinician and/or MET, Mobile teams. Relaying vital information to (Crisis Intervention Specialist, Mental Health Specialists, Behavioral Clinicians and Crisis's manager) assist in assessment of client's needs by pulling up client's previous episodes for information such as last hospitalization, and reading ICD-10 codes from Insyst or Clinician Gateway. Assist clinicians and managers in frequent processing of openings and closings of "one time only" services provided by MET, Mobile teams and Post Crisis follow up. Research Insyst and/or Clinician Gateway to see if client has been seen through Alameda county BHCS system, to prevent duplication of client's name and/or PSP numbers. Update information such as client's address, phone numbers etc. Prepare, review, and audit Medi-Cal Administrative Activities time study time. Review time, ICD-10 codes, co-staff ID numbers. Audit the time study against reports generates from federal database. Prepare ISL spreadsheets for finance review. Prepare and process request for confidential client records according to HIPPA rules and regulations. Once completed, fax or mail records. Electronically upload request for records through secure Social Security website for faster process. Log in all request on tracking spreadsheet. Research and request brochures from various programs through out Alameda County to assist Crisis service's staff to provides resources to clients they interact with in the field. Inform other programs of updating information regarding Crisis Services (contacts, program operation hours, phone number). Complete financial form for each client that has either had an account which has expired or create an account for each new client evaluated in the filed by Crisis Intervention Specialist, or Post Crisis Follow-up Clinicians. Each month scan all daily log sheets for Familiar faces and Community connection. Audit gift cards (Financial rewards program) by the serial number in the log book, distribute cards to Mobile and MET teams for clients they interact with in the field. Perform related personnel on boarding process associated with new hires. (BHCS, CIS, MHS and Clerical). Support Clinical Supervisor by tracking attendance of clinical staff. Make copies of Program's brochures for site managers, Mental Health Specialists for presentations and pop-ups. Assist staff with equipment problems and malfunctions. Keep all Crisis's vehicle stocked with supplies needed in the field such as toiletries bags, blankets, PPE supplies. Assist vendors and other county departments when they arrive at the office when the ASM (Admin. Support Mgr.) is not on site. Notify BMD when there are issues with the facility. Order office supplies from Alameda county's contracted vendors. Distribute incoming mail (USPS and/or OIC). Drive County Vehicles to deliver office supplies to satellite Crisis offices with Alameda County. At the end of the day, close all inside doors, lock cabinets arm building if needed.

12/2004 to 01/2006 Specialist Clerk (TAP Program) County Of Alameda, BHCS, Crisis Response Program | City, STATE,

Consistently open charts on new and/or repeat clients in accordance with PSP on-line billing system manual. Using the locator screen with accuracy, determine whether client is new to the system and needs to be registered or if know to the system and selected information requires updating. Interview clientele to elicit basic personal, financial, medical, school and social data in order to complete appropriate forms and consistently completes intake documents fully and accurately. Open sorts and distributes County/US mail to appropriate staff as needed. Identify client related problems and contact appropriate clinical/clerical personnel for action. Review request for medical information adhering to HIPPA regulations. File all reports with assurance of confidentiality, in a timely fashion. Reproduce and collate copies of forms, reports, letters as needed requested within 24 hours of request. As needed travel to other locations/sites for clerical coverage, training, meetings. Front line interaction with patients, the first responder for critical phone calls between the various police departments and the mobile crisis team. Serve as vital link between the patient and the mobile crisis team. Research and compile information using different database program while maintaining strict confidentiality. Complete financial documents for each client as needed by the finance department of the county. Serve as Safety coordinator for the site, doing routine safety checks so that it would not be any injuries to employees or clients. Contact person when ASM (Admin. Support Mgr.) is unavailable. Transformed the disorganized inefficient filing system into a totally smooth running system by pulling, labeling and alphabetizing charts and sending old medical charts to storage. This saved much time and it avoided making duplicate charts.

Input voter's registration, updated information, proofread ballots when needed. File affidavits, pull ballots, assist public at front counter. Answered phones during high peaks.
