Benefits Administration
Administer employee benefit programs such as group health insurance, dental, life, and medical reimbursement.
Handle employee benefit inquiries and complaints to ensure quick, equitable, and courteous resolution. Act as liaison between employees and insurance carrier's claims office and resolve administrative problems with insurance carrier representatives.
Provide timely notice to employees under the requirements of the Health Insurance Portability and Accountability Act (HIPAA), and Affordable Care Act (ACA) including issuing certificates of coverage for all medical plans for terminated employees and dependents who request it.
Assist in conducting benefits orientation meetings and enrollment of new employees in benefit plans and comply with all state and/or federal deadlines in getting them enrolled or declined.
Assist with annual open enrollment process, including making group presentations and preparing, distributing, andreceiving materials and forms. Process all employee benefit enrollment and change forms within required time limits to meet payroll deadlines.
Coordinate with Retirement third party administrator (TPA) for annual enrollment information.
Coordinate with Retirement TPA to schedule and promote monthly employee one-on one campus meetings.
Coordinate with Retirement TPA to schedule and promote Employee Information Meetings once a semester for afterhours educational seminar.
Leave Administration
Process all long-term absences according to established guidelines including determining eligibility for various leave programs (e.g., family medical leave and temporary disability leave) and providing employees with appropriate and timely notice.
Counsel with employees and supervisors concerning leave benefits and provide employees with accurate information related to absences such as deductions from pay, medical certification requirements, return-to-work dates, and fitness-for-duty requirements.
Work cooperatively with payroll department and risk management to process and coordinate all employee leaves and absences, including those relating to workers' compensation claims.
Work with campus and departmental administrative staff to process daily absence reports.
Assist with employee orientation program and present information on leave benefits.
Coordinate with supplemental benefits TPA the once a semester district wide baby shower.
Workers' Compensation Administration
Receive and process accident reports and workers' compensation claims. File all insurance forms and Texas Workforce Commission reports including wage statements, first report of injury, supplement report, and job information in a timely manner. Establish and maintain contact with injured employees and provide assistance with claims and obtaining health care as appropriate.
Communicate with workers' compensation insurance carrier, doctors, nurses, campuses, and health care providers to enable appropriate processing of claims.
Work closely with campus and department secretaries, supervisors, and administrators to facilitate reporting work-related illnesses and injuries, and to ensure appropriate use and access to applicable leave and insurance benefits.
Prepare for TWC conferences and hearings.
Work with campuses/departments for availability to return an injured employee, released on limited duty/restrictions, to a Temporary position under the district's Return to Work Program
Risk Management
Review and respond to all unemployment claims. Serve as district representative for Texas Workforce Commission (TWC) hearings. Adjust claims or work in defense and settlement of claims against the district.
Work with insurance carriers to address property loss claims filed by the district.
Records, Reports and Correspondence
Prepare and verify monthly premium statements for all group insurance policies. Balance and submit billing statements to accounting for payment.
Maintain all benefits-related records including statistical data relative to premiums and cost. Assist with required data entry and preparation of reports.
Assist with preparation of benefits handbook, including word processing, coordinating printing, and distribution.
Maintain and distribute insurance forms and supplies to campuses and other district buildings.
Compile, maintain, and file all reports, records, and other documents as required.
Maintain confidentiality of information.
Prepare correspondence, forms, and reports according to district standards and requirements.
Track absence data and provide campus principals, other department heads, and others with trend reports.
Maintain employee leave records, including confidential medical information in accordance with federal and state laws and regulations and district policies and procedures.
