Alternatively, many background check companies will contact you directly for a recommendation. In this case, they will often send you a few brief questions to answer. Or, they may even give you multiple choice answers to a fixed set of questions.
However, there may be times when you still need to write an old-fashioned letter. If you write a recommendation letter in this way, you should be sure to include a few key elements. First, you should indicate how you know the person and how long have you known the person. You should also indicate the capacity in which you know the person. Did the person work for you? Are you a friend?
After you state how you know the person, you should speak to the person's character and work ethic. Describe why you believe they are a good fit for this role. If you have knowledge of their applicable prior work experience, you should also describe how that experience applies. Be sure to include your contact information, so the company can contact you if they need more information.
If you feel comfortable, you may want to share your recommendation letter with your friend first, so they may give feedback in case you have left out any important information.
Be sure to ask how the recommendation letter should be delivered. Should it be delivered in an email? Or, should it be delivered by U.S. Mail? If it needs to come by U.S. Mail, be sure to include the proper header on the page, with your address, the recipient's address, and the date. And, if you send it via U.S. Mail, be sure to sign the letter at the bottom, along with your signature.
