PARISH ADMINISTRATOR POSITION DESCRIPTION The Canterbury Chapel Parish Administrator reports to the Rector/Chaplain, who conducts the Parish Administrator's performance review each fall. The Administrator is paid a salary set by the Vestry annually and may receive an additional stipend in December for assistance with football parking responsibilities. The church pays for health insurance coverage for the Administrator, and the Administrator participates (with a church contribution) in the church retirement plan. The Administrator works 32 hours each week, with normal working hours being 8-12 and 1-4 Monday through Thursday and 8-12 on Fridays. Following are paid holidays: New Year's Day MLK Day Memorial Day Independence Day Labor Day Thanksgiving and the Friday following Christmas Day and three contiguous work days The Administrator earns 7 hours of paid sick leave per month and 13 hours of personal leave per month. The administrator is accountable to the Rector/Chaplain for use of personal leave and sick leave and keeps a record of such leave. The Rector signs the leave record monthly and shares with the Treasurer. The Administrator's responsibilities are to provide services consistent with Canterbury's mission: “To show God's love through Christ by being a Sanctuary and an accepting community for worship, spiritual growth, and compassionate service.” Working in close cooperation with the Chaplain/Rector, Deacon, Vestry members, Church Mouse, and Sexton, the specific duties of the Parish Administrator are as follows: Hospitality Extend hospitality to all, including parishioners, students, guests and visitors to the church Answer telephone inquiries and direct callers to appropriate persons Provide information, answer questions, and/or direct inquiries to appropriate others Assist people with emergency needs with food or information, in the absence of Rector or Deacon Communication Answer email inquiries Sort, open, and distribute mail Prepare Sunday service bulletins and programs for special services (e.g., Holy Week, funerals) Notify Deacon about flower donations Make reservations for retreats, conferences, and conventions Distribute email messages from rector, Monday Messages and similar email communications Provide routine photocopying for various church groups Assist with the production and dissemination of Canterbury Tales Prepare bulk mailings for stewardship letters and similar communications Send reminders for Sunday service assignments Upkeep and Well-being of Physical Plant and Grounds Alert Junior Warden to maintenance/repair needs Order keys, as necessary, and keep a record of who has master keys to the church Call maintenance and repair people and meet with them to discuss repairs Print and distribute parking passes for Canterbury grounds Management of Church Financial Resources Prepare bills, reimbursements, and payroll information for Bookkeeper Mail checks Write checks in absence of Bookkeeper, keeping appropriate records Purchase, store, and distribute all supplies for church (e.g., coffee, sacred consumables, nursery) and associated groups (e.g., Brotherhood, ECW, art receptions, MOW) Record Keeping Receive receipts for charges and reimbursements and share with Bookkeeper Maintain church calendar and schedule use of rooms Maintain church filing system Maintain records of resident leases and rent payments Update staff directory for the Diocese ACS program Prepare sign-up sheets for nursery and Sunday School workers to log hours Maintain, update, and distribute parish directory Maintain parishioner email list Maintain parishioner birthday list Assist in getting background checks and sexual conduct training for all employees and volunteers who work with children and keep records of same Assist with maintenance of baptismal, confirmation, and letter of transfer documents and records Football Parking Responsibilities These are coordinated with the Church Mouse in consultation with the Rector.
