The Office Assistant II position, under general supervision, independently performs a wide variety of complex duties in support of the Juvenile Probations Officers assigned to the Bethel Office and the Bethel Youth Facility Staff. Duties of this position include but are not limited to: primary first contact at the Bethel Youth Facility directing incoming telephone inquiries to appropriate staff and greeting the public; arranging travel through the State Travel office for staff, clients and non-clients to include the preparation of travel authorizations; and maintaining the probation officer caseload list. This position also assists the Social Services Associate (SSA) in processing of police reports and entering relevant information into the Division's Juvenile Offender Information System (JOMIS); accomplishing purchase/inventory controls, to include the preparation and submission of field purchase orders, maintaining stock levels, inventory/purchasing supplies and performing annual equipment inventories; maintaining a tracking system of staff training; retaining and archiving case files; processing outgoing/incoming mail; maintaining postage meter and postage balance; gathering, organizing, reviewing and submitting timesheets; typing/formatting documents; and taking/distributing staff meeting notes.
1. Establishes and maintains files and records in accordance with established procedures. 2. Interacts with and provides information for persons desiring data from the Accounting or Purchasing Departments. 3. Performs arithmetic calculations and verifications of purchase orders, invoices and other documents submitted to the Accounting Department. 4. Prepares financial documents for electronic data processing, verifies accuracy of output an makes any necessary corrections. 5. Prepares checks and makes bank deposits. 6. Assists other business office personnel in executing related functions.
