The Facilities Project Coordinator is responsible for the following:
PURCHASING/PROCUREMENT - The position will be responsible for reviewing and approving purchase requests, entering those purchase requests into the Arizona Procurement Portal (APP), reconciling invoices with receivers and purchase orders, tracking
purchase orders for the department, selecting vendors for services and equipment in accordance with the Arizona Procurement Code, ensuring delivery of products and services, and working with vendors to coordinate services and resolve issues using APP.
SUPPLIES - The person will ensure that the agency stocks and keeps on-site sufficient supplies to meet regular demand without delay. When necessary, the person will initiate purchase of supplies to replenish inventory or to meet unique needs.
MEETING SETUP/ONBOARDING/OFFBAORDING - The person will oversee setup for meetings and other events in ample time. The
person will oversee the Facilities-related tasks for onboarding and offboarding with minimal supervision.
WORKSPACE/FLOORPLANS - The person will maintain a working knowledge of agency workspace and floor plans and potential opportunities to modify the floor plan based on agency priorities. The person will modular inventory, assemble required materials at the
job site, perform necessary work and/or obtain quotes and oversee contractors, and coordinate with various internal units to properly
construct workspaces within the agency according to best practice and any applicable safety standards. They will install office related equipment (e.g. whiteboards) as necessary and practical.
MAILROOM -The person will oversee incoming mail, ensuring accurate delivery to programs, and maintaining records for certified mail. The person is responsible for ensuring that contents of mail are properly documented where necessary.
FLEET - The person will also collect monthly vehicle usage information for billing and reporting purposes and maintain agency keys
and vehicle logs as well as ensure compliance with required vehicle maintenance. The Facilities Project Coordinator will provide regular
reporting on the State of the fleet. They will process incident reports concerning agency vehicles and employees, evaluate incident
reports, take part in regular meetings to determine incident liability, and coordinate vehicle rental and repairs.
INVENTORY/ASSET MANAGEMENT - The Facilities Project Coordinator will also be responsible for creating accurate and detailed
lists of materials, using required state forms, documenting serial numbers, and agency asset numbers, per DOA surplus requirements,
overseeing the collection of State property and ensuring disposal complies with state surplus property requirements. The person will also conduct a yearly inventory of all assets as appropriate and work with Accounting to reconcile inventory results with the State's asset management/accounting system.
SUPERVISORY RESPONSIBILITIES - The position will oversee the front desk reception position as well as other Facilities positions. The position will coordinate closely with the Assistant Director for Finance and Administration to ensure all functions are properly
CONTRACTS/IGAs - Follow agency procedures regarding the review and approval of contracts and IGAs. Keep an updated log of contracts and IGAs. Maintain an accurate and easily navigable filing system for all contracts according to State retention schedules.
