I coordinated three department outings for the IT department for a total of fifteen people. Planned and executed all travel arrangements for the SVP as well as three department managers. I increased office organization by developing more efficient filing system within the department managers and the SVP with vendors and potential clients. I started of as a temp in the accounting department for four months and then was moved into the IT department as a full time employee. I was then promoted from Administrative Assistant of IT to the Executive Assistant to the SVP of IT within 3 months of moving into the department.
I answered a multi line phone, managed four managers calendars, planned and organized all department meetings, outings, all managers travel arrangements and controlled and oversaw all department employees PTO.I was responsible for all department supplies and ordering. I oversaw all filing for all documents. I in charge or all confidential material within the department and making sure it was scanned and filed properly. I worked with Microsoft Word, Excel, ADP, and Oracle on a daily basis. I worked directly with vendors and invoices. I prepared all invoices to be submitted to accounting, and all employee expense reports. I helped arrange bi annual company meetings and holiday parties with three other department assistants. I also helped with them main receptionist area including answering the multi line phone and transferring them to the proper department, greeted and assisted visitors and vendors. Also signed and sorted daily mail.
