Role Summary: I currently assist in the management of daily operations of the office and assisting the Vice President as well as three distinctly separate programs; At Home Support, Hosparus Palliative Program and Kourageous Kids.
In my role, I am responsible for the following: Office and medical supply management Expense reimbursement for staff Incoming/outgoing mail Data Analysis and reporting daily, weekly, monthly reports in both Suncoast and Allscripts EMR programs using Excel to provide detailed reports Agendas for both staff and interdisciplinary team meeting Communication with other partners Train staff on key information in Allscripts EMR program Preparation for all meetings including finding location, audio/visual equipment, sending agendas, and catering when required Creation and maintenance of paper medical records Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the Care Guide Partners as well as staff of Hosparus Health Inc as needed.
Performs desktop publishing.
Creates and develops visual presentations for the vice president.
Establishes, develops, maintains and updates filing system for the Vice President and other employees plus partners of the department.
Retrieves information from files when needed.
Establishes, develops, maintains and updates library of trade journals and magazines.
Organizes and prioritizes large volumes of information and calls.
Sorts and distributes mail.
Opens mail for the Vice President and others.
Drafts written responses or replies by phone or e-mail when necessary.
Responds to regularly occurring requests for information Answers phones for Vice President, President and others.
Takes messages or fields/answers all routine and non-routine questions.
Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, Presidents, Senior Vice presidents and board members.
Handles confidential and non-routine information.
Works independently and within a team on special nonrecurring and ongoing projects.
Acts as project manager for special projects, at the request of the vice president, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.
Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc.
Proofreads copy for spelling, grammar and layout, making appropriate changes.
Responsible for accuracy and clarity of final copy.
Records the minutes for board of director's committee meetings.
Assist the Vice president in performing market data analysis.
Maintains documentation to support the department finances.
Activities include coding invoices, copying check requests and sending to accounts payable travel reimbursement, documenting corporate credit card expenses to corporate finance Assisted the Customer Support Center answering referrals and entering information to admit new patients to Hosparus and provided education to families regarding services.
Created the first pediatric admission and care guide for Kourageous Kids and coordinated multi-disciplinary meetings to ensure all departments contributed to the guide.
Assisted Hosparus in education/training providing Health Care Provider CPR to nurses and CNAs.
